Myth Busting Egress - FAQs

There has been a bit of confusion about using Egress and various confusing messages, we have written this to answer some of the most commonly asked questions.

What is the Egress Secure Email Service?

Egress (SES) is a way of sending secure emails by encrypting them, so the information and any attachments are secure.

Do I need to send secure emails?

From time to time schools are required to pass on personal pupil information via email to external agencies, other schools, parents, governors etc. To comply with the law, emails containing any personal data need to be sent securely.

How do I send an encrypted email?

If I send an email to NYCC is it already encrypted?

Emails sent to an @northyorks.gov.uk address by a licenced user will be encrypted. Users that are not registered will be sending unencrypted emails.

How do I know if my email account has been set up?

You can contact the Schools ICT Helpdesk on 01609 536086 or email This email address is being protected from spambots. You need JavaScript enabled to view it. and ask them to check.

It doesn’t seem to be working?

There are two answers to this question

1 - Your email may not be set up as a licenced user, you can contact the Schools ICT Helpdesk on 01609 536086 or email This email address is being protected from spambots. You need JavaScript enabled to view it. and ask them to check.

2 - If you are a licenced user, are you using the word secure in square brackets in the subject field of the email e.g [Secure]

If it is still not working, please get in touch with the Schools ICT Helpdesk.

Can I use Egress for free?

Egress Switch is a web based version which can be used freely by everyone.

As a free user of Switch you will receive 25 free credits. Credits are deducted whenever you send a secure message to another free user and that user then opens the message.

When your 25 free credits are used up you will need to purchase a annual subscription. With this licence you will be able to send an unlimited amount of secure emails. 

Licences direct from Egress cost for 1-4 users = £80/per user/per year.  There are also options for business packs for 10 or more users. 

You can also purchase additional licences from North Yorkshire Education Services at the special price of £35.00 per user, per year.

What is the difference between the paid for licence and the free version?

The free version allows users to log in to read an encrypted email that has been sent to them. They are able to reply to the sender or another licenced user, but they cannot send emails to other free users.

The licenced version allows users to log in to the web based system to send and receive encrypted emails and has extra functionality, which will benefit frequent users such as Administrators, Head Teachers and SEN Coordinators.

The extra functions include:

- Emails that have been sent securely appear into your registered email account just like a normal email, but with an orange banner.

- You can send an email from your registered email account by creating a new email, but you add the word secure in square brackets to the subject field i.e. [secure]

How much are the extra licences?

Additional licences from North Yorkshire Education Services at the special price of £35.00 per user, per year.

We would like more licences, how do we buy them?

Licences can be purchased through Smart Solutions Online. Please contact Schools ICT if you require any help with this.

Can we change the email addresses of our 2 free licences?

Yes, you can change the free accounts at any time, please contact the Schools ICT Helpdesk and we will arrange this for you.
