Sending Encrypted emails with Egress
Specific email users in school can send encrypted messages using the Egress email encryption solution provided by Schools ICT and NYCC. Messages that match defined email rules are automatically encrypted and sent to the specified email addresses.
If the email is sent from the following email addresses:
The subject line contains the word [secure] or [restrict]
Then the Email will be sent to the recipient encrypted
Please contact Schools ICT on 01609 536086 and select option 1 if your Office 365 system has not been configured or you would like alternate email addresses to be able to send encrypted emails. Alternatively, as of September 2018, Office 365 for schools has built-in e-mail encryption, as outlined in Secure Office 365 E-mail - Office Message Encryption (OME)
- Create a new email in Office 365
- Create the email as usual
- In the subject field type secure in square brackets - [secure]
Note: use [restrict] if the email falls into the category of restricted.
(The email should be label as restricted if it contains information on social care cases, police matters, physical or mental health details, offences - actual or alleged, criminal proceedings – outcomes and sentences.)
- Send the email in the usual manner.
If the email was sent with [secure] in the subject line and the recipient is another school or a NYCC colleague with a licensed Egress account, they will receive the email directly into their inbox and will be able to read it.
If the recipient doesn't have an Egress license or the email was sent with [restrict] in the subject line they will receive an email directing them to a login page. If they haven't already registered, they will need to create an account by clicking on New User.
